iMail Administration

If you are using iMail standalone, then add your iMail library to your library list. Otherwise, iMail is a menu option off the iDocs main menu.

iMail Administration

The first menu group, iMail Administraion deals primarily with the setup, configuration and security of iMail.

Configure iMail

Selecting this option, and supplying the necessary protocols and defaults is required in order for iMail to function properly.

The configuration settings above are detailed below with their defaults, options and requirements.

  • Domain Name- This is required setting containing your Local network domain name.
  • Organization Name - Your company name or organization is required in this setting.
  • Email Send Method - Entering either SMTP, Simple Mail Transfer Protocol or ESMTP, Enhanced Simple Mail Transfer Protocol are the two valid entries for this setting to define the protocol used by the email server. Typically, most internal mail servers use SMTP. Otherwise, if your organization uses an email service provider, this provider may use ESMTP which may require additional settings such as user authentication and passwords.
  • SMTP Host Mail Server - This required setting needs either the mail server host name or IP address of your mail server. Although either value may correctly be interpreted as valid, it is recommended that the host name be used. In this way, should the IP address change for the host name, the host name will still be valid, whereas the changing of the IP address for the mail server would result in failed mail delivery.
  • SMTP Port - This required setting's default value is 25 (00025), which is the protocol's standard port. Otherwise, change the setting to comply with the required port of your mail server. Note that leading zeros are required.
  • Local Host Mail Client - This optional setting contains your, System i IP address.
  • Sender Address - This optional setting contains the default email Address that will show as sender address. However, the default sender address will be overridden if the user is listed in the Public Distribution Directory from option 3 of the email menu.
  • Default From Address - From address to be used if left blank in email commands.
  • Default Reply To Address - The address that will by default receive a reply if the recipient sends a response.
  • Authentication User Name - This optional setting works with the ESMTP send method when authentication is required.
  • Authentication Password - This optional setting works with the ESMTP send method when authentication is required.
  • Authentication Encrypted (Y/N) - This optional setting works with the ESMTP send method when encryption is required.
  • Auto wrap message length - This required parameter contains the maximum line length for a message line before the line wraps to a new line. The default value is 78. If needing to control the message line length with embedded carriage returns and line feeds, then this value should be set to a default value of 1900.
  • Force Socket End (*YES/*NO) - Controls the ending of the conversation with the mail server.
  • Remove Over Printing (*YES/*NO) - This value controls whether or not overprinting from sent spooled files needs to be removed prior to being converted and delivered. Only in instances where converted spooled file would yield a distorted PDF file, would this value need to be changed from the default value of *NO to a value of *YES.
  • Auto Recipient Domain (*YES/*NO) - This controls the ability to use a short hand method to define an email recipient. Should a recipient name not be supplied with only a name (i.e. your name), then the domain would automatically be added to the end of the name (i.e. yourname@yourdomain.com).
  • Log outgoing mail (ON/OFF) - Controls whether or not out going email is logged. Note that the message body, and attachment contents are not logged.

  • Debug iMail (ON/OFF) - For diagnostic purposes, and only when needed, turning on this settings helps to trouble shoot issues with email delivery.
  • XLS Col from column text (Y/C/B) - Determines whether or not column text is associated with the column data. If 'C' is entered in this setting, then the database COL keyword text associated with the field will be used to derive the column description. If 'Y' is entered, then the column name will be used to describe the column. If 'B' is entered, then the column text will be derived from the column description should it exist, otherwise the field name will be used.
  • PDF Orientation - This configuration setting determines the orientation of the rendered PDF attachments. *PORTRAIT will force a portrait orientation; *LANDSCAPE will force a landscape orientation; *SYSDFT will derive the orientation from the original spooled file.
  • TLS/SSL Required - specify TLS, SSL or leave empty. TLS configures the transmission using transport layer security. SSL configures the transmission using SSL. Leaving they entry blank causes iMail to send emails without encryption.
  • Application id for certificate - Using TLS requires a certificate assigned to the iMail client. Specify its ID here. Otherwise leave this field blank. Certificates are managed through the Digital Certificate Manager; please refer to IBM documentation for more information on the DCM. The certificate that you want to install is that of the remote smtp host. You can capture that certificate using the Openssl command line tool. Man page for that tool is found at Openssl; a short example of its use can be seen at BVS Tools.
  • Use Java Mail (ON/OFF) - If ON will use JavaMail and Java APIs to send email. Javamail APIs support SMTP servers using TLS/SSL. If OFF (or blank) will use RPG APIs to send email. RPG APIs don't support SMTP servers using TLS/SSL. NOTE: Javamail could be a better choice because it supports modern mail servers and is Open Source, contributed to by a thousand programmers. The Java program runs on a Java Virtual Machine (JVM), and this machine interprets java code to machine code at run time so it takes a bit longer, but it is much more reliable than RPG mail.
  • iMail Batch Job Queue - Set the job queue which the batch processes of iMail programs will be submitted to.
  • Run Java Mail in Thread (YES/NO) - If YES it submits the job to the defined iMail job queue.
  • Ifs path for message macro file - Define the IFS folder to store macro files which are used in iMail API. In iMail message, user can define macro with convention &macro_name, then the macro will be looked up in this IFS folder.
  • iMail signature folder - The IFS folder to store signature HTML files if signature feature is used with Java mail. When iMail sends an email, it will check if the signature folder specified, and look for the signature file (.htm or .html) of the From Address, if not found, then it will look for any entry for the current user ID name.
    NOTE: To utilize this feature first create a HTM file with the way you want the signature line to look for each user and save to the directory location on the IFS that you want to store the HTM files. When saving he files, use the same name as the corresponding User Profile the file will be used with when sending an email. When activated, the formatted email will include the signature line.

Use F13=Configure Environment for more environmental options.
Use F14=2nd SMTP to specify a specify a second SMTP Host Mail Server if the first one does not connect (6.92).

Configuration parameters that have been removed from prior versions:

Submit Process to Batch (YES/NO) - This field is YES will set the default value in Batch Mode of ESNDSPLFD to Y. This field is NO or blank will set the default value in Batch Mode of ESNDSPLFD to N. ESNDSPLFD is a convenient API command which programmers can embed it to their programs. This command can: Send an SCS spool file or merge SCS spool file with iDocs form/check/form set, then email output PCL.

Keep iMail Batch Log (YES/NO) - YES will keep the job log of iMail batch jobs and log CL commands. It is actually parameters in SBMJOB LOG(4 0 *MSG) LOGCLPGM(*YES) SPLFACN(*KEEP).

Run Java Mail in Batch (YES/NO) - Batch Mode = Y and Run Java Mail in Batch = Y: manual merge program (if FORMAPP is specified in command ESNDSPLFD) and iMail process are executed in same job of batch mode Batch Mode = N and Run Java Mail in Batch = Y: manual merge program (if FORMAPP is specified in command ESNDSPLFD) is executed in interactive mode and iMail process is executed in Batch mode Batch Mode = Y and Run Java Mail in Batch = N: manual merge program (if FORMAPP is specified in command ESNDSPLFD) and iMail process are executed in same job of batch mode Batch Mode = N and Run Java Mail in Batch = N: manual merge program (if FORMAPP is specified in command ESNDSPLFD) and iMail process are executed in same interactive job

The first portion of this display shows only the System i information useful for licensing and compatibility purposes. The lower half, Maintenance Information, enables the configurable settings to be changed. By in large, these settings will retain the default shipped values. However, to be as configurable, these values are exposed and may be changed.

  • Target IFS Directory - The target IFS directory contains the path off the root directory that will retain iMail attachments.
  • Default Library - The default library contains the library that iMail will refer to as a current library. In this way, iMail may be relocatable to another library defined by this value.
  • Default Code Page - This is useful for globalization purposes. Should you be running this software on a non United States system, and another code page needs to be used to accommodate your language, the code page can be set here.
  • DIF File Code Page - The DIF file code page is essentially the same setting as above, but for a specific file conversion of database to DIF (Data interchange Format).
  • JAR Files directory - If the path is blank, then the Java ARchive files are saved in the default directory: /QIBM/USERDATA/JAVA400/EXT. If specified here, they are save in the specified directory.

Note: You can check the existence of ifdjava.jar in /QIBM/UserData/Java400/ext with the command: 
WRKLNK ‘/QIBM/UserData/Java400/ext/ifdjava.jar’.
If the JAR file is missing from your system, you can restore it with the following command: RST DEV('/qsys.lib/currentiMaillibrary.lib/jarfiles.file') OBJ(('/qibm/userdata/java400/ext/ifdjava.jar'))

If a path is not specified in the iMail configuration, you can use CLASSPATH to specify the ifdjava.jar at the system level and when any java job is started, ifdjava.jar is loaded accordingly. Note: If not using the JAVA iMail option to send emails you can ignore CLASSPATH, but some RPG options still require JAVA.  i.e. if using iMail to send a Data Base file to XML a JAVA method is utilized.  If the ifdjava.jar file resides in QIBM you do not need CLASSPATH.  

Configure Secondary SMTP Settings

The F14 (6.92) configures a second SMTP Host Mail Server if the first one does not connect is available. Doing so renders the screen below:

These are the settings for 2nd SMTP and you can schedule for the time it is active. Once the iMail program runs during this active time, the 2nd SMTP settings will be effective.

Miscellaneous iMail Settings

The majority of the configurable user setttings have a corresponding user interface from which to change these settings. The same is not true of others. Forturnately, the number of settings lacking a user interface are few, and the need to change these settings are limited.

These configurations are controlled through data areas. The data areas themselves may be changed with the OS command change data area, CHGDTAAARA followed by the data area name.

The following lists these data areas, their meaning, and their possible settings:

  • DSDIFHDR - This controls the heading associated with a field, when a data base is converted to a DIF file. The field headings may either display the field name, or the column heading associated with the field. The possible values associated with this value are: 'Y' and 'N'. If the value is set to 'Y', then the field description will be used, otherwise the field name is used in the column heading.
  • DSORIENT - This data area controls the orientation of resulting spooled files converted from *SCS to PDF format. The possible values of this data area, are *PORTRAIT, *LANDSCAPE, and *SYSDFT. Should the data area contain either *PORTRAIT or *LANDSCAPE, the spooled files convert to PDF will conform to the orientation contained in the data area. Should the data area value contain *SYSDFT, then the PDF will conform to the orientation of the original system spooled file.

Work with Log

Option 2 from the iMail menu allows an administrator to view the status of out going emails from the System i. No preliminary configuration for this option is necessary. Illustrated in the screen shot, a log of previously sent email displays in descending chronological order.
Note: What is displayed on the log is controlled by the Data area DSMLOGAUT.

  • When the data area is set to 'N' then the iMail log will display without restriction.
  • When the data area is set to 'Y' then the iMail log will restrict access to users so they only see their own emails and the '4=Delete', '7=Resend' and '9=Forward Mail' aren't displayed as options. Only User Profiles with *SECOFR and *SECADM will be able to see all mail logs and be able to use the “4=Delete” and '7=Resend' and '9=Forward Mail' options.

Note: In 6.94 by default the logged email entries are no longer encrypted on the data base. To maintain the data base encryption of the log entries, set the Data Area DSLOGENCRY = ‘Y’ and emailed logging will be encrypted as in prior versions.

Work with Users

Option 3 from the iMail menu allows two tables of email contacts to be created and maintained. The initial table of email contacts lists all the public addresses. That is, the email addresses are shared among all users on the system. The optional table of email contacts lists all the private email addresses created by the user currently logged into the session. In this way, a user can create their own list of email address for their own use without making these email address public to other users.

In most PC based email systems this type of distribution list would be limited to a table confined to potential recipients. This is not true of iMail. Although recipient email addresses can be created here, sender email addresses are created and maintained in this program as well. Moreover, once a sender’s email address is created that address can be associated with an AS/400 User profile. In this way, when sending an email a user’s originating email address can automatically be generated.

Work with public distribution list, shows the initial public table of email addresses. The maintenance program uses the standard editing options and functions keys to maintain the list. Using an option 1 next to the email address enables that entry to be edited, whereas pressing the F6 key adds a new record to the email table.

Option 8=View Groups to see what group(s) this user is belong to. This makes it easier to see all the groups one individual belongs to in the address book. (V6.89+)

F9= only those email addresses created by the current user will be displayed. Note that the user profile, EMAILUSER, is displayed above the list of private emails.
F11= Toggles between 'Sort by Email' and 'Sort by Name'. 6.95+ provides a starting position by entering a string of characters on the starting line above the name or email address. Enter the starting point and Press F11.

An entry is selected to edit with an option 1, and the preceeding screen will be displayed, and may used to enter in the detailed information associated with a user.

User Profile - when the IBM i user profile is assigned to this field and the user is logged in to IBM i, iMail will use the user's email address as the From address overriding any Default From Address in iMail. Use with caution as a From Address isn't allowed if using Outlook 365.

iMail Administration

This menu item 5 deals specifically with two types of administrative settings: numerous default settings within the iMail WRKSPLINF command and several access authorizations to WRKSPLINF functions.

Only the user profile QSECOFR has authority to select this option and change the default settings. If any other user attempts to change the settings, a message will appear notifying the user that proper authorization is necessary to update these settings.

For each of the following settings and defaults being set, the scope and impact of each setting will be explained in detail. All of these settings relate to the global use and authorization of the command WRKSPLINF. A future enhancement will provide a system that will enable individual user profiles specific access to the functions of WRKSPLINF. WRKSPLINF itself allows a user to select a spool file as an attachment in an email and determine the format of the spool.

  • Allow to use WRKSPLINF – If this access authorization setting is Y access to the command WRKSPLINF is not restricted in any way. A setting of N restricts access to the command completely and all the remaining access settings below are rendered disabled regardless of their setting being enabled or disabled.
  • Allow selection by user – If the setting is Y, then the command WRKSPLINF will enable access to the F5 key to specify another users spool files to be displayed and accessed. The impact of allowing this setting to remain at the default value of Y, means simply that a user can send not only spool files that they themselves have created, but also any other spool files that another user has created. Your system administrator should be involved in establishing these settings, so as to not undermine any existing security settings on your System i.
  • Initial USER to View – Here either the current user spool files can be displayed or a specific user profile can be defined.
  • Allow change user - On the command WRKSPLINF, the function key F5 allows a user to toggle from processing spool files from a single out queue to processing spool files created by a specific user. Restricting access to a single out queue ensures that unauthorized access to another user’s spool files will be prohibited.
  • Allow selection by out queue - When set to Y, the WRKSPLINF command allows selection of spool files by out queue.
  • Initial Out Queue View – Should the option above be enabled, and selection by out queue is selected, then the default out queue displayed can be specified here.
  • Allow change out queue - This access setting controls whether the WRKSPLINF command will allow the out queue displayed to be changed from the initial out queue view specified above to another out queue. The impact of setting this value to Y again may undermine any existing security settings.
  • Send Type Default – When selecting a spool file as an attachment the default format of the spool file may be any one of the following: *HTML, *PDF, *TXT, *FCFC, and *PRTCTL. Which represent the formats Hypertext mark up language, rich text format, Acrobat reader format, text format, ANSI forms control characters format, and the printer control format respectively. The impact of this setting can affect performance. For example, sending a spool file as a *PDF format may take considerably more time than processing a spool file *FCFC format.
  • Allow change send type – This setting determines whether the Send Type Default may be changed from the current value another format.
  • Allow change from address – When this value is set to N, the default from address will be set with from email address defined in option 1, work with email configuration. This value may not be changed. When the value is set to Y, the default email address will appear and the user may override this value with another address.
  • Allow to use SNDDBF (Y/N) – Since security is a concern when sending and receiving attachments, iMail enables you to control whether or not physical files, and save files may be sent. Disabling this feature with an N, will inhibit both save files, and database files from being sent from the iSeries. Placing a Y in this value will enable this feature allowing save files to be sent, and physical files to be sent as in either Text format or Delimited Interchange Format.
